Terms of Service & Privacy

This legal document applies to your access and use of WorkIt, a service operations software platform for maintenance teams, provided by Ruji Labs Services ("Ruji Labs," "we," "our," or "us").

WorkIt is a product of Ruji Labs Services, a company registered in Malaysia (Registration No: CA0407027-X). By using WorkIt, you acknowledge that you are entering into an agreement with Ruji Labs Services.

If you are an active subscriber, your specific subscription agreement, statement of work, or enterprise contract governs your service relationship. In case of any inconsistency, the signed subscriber agreement takes precedence over these general terms.

In this document:

• "WorkIt," "Service," or "Platform" means the service operations software, including all features, tools, mobile interfaces, and APIs provided by Ruji Labs.
• "Ruji Labs," "we," "our," or "us" means Ruji Labs Services, the company behind WorkIt.
• "User," "you," or "your" means any individual or entity accessing or using WorkIt, including account administrators, technicians, and authorized personnel.
• "Customer Data" means any data, information, files, or content that you or your users upload, submit, or generate through the Service.
• "Subscription" means the paid or trial access to WorkIt features based on your selected plan.
• "Subscriber Agreement" means any signed agreement, statement of work, or enterprise contract between you and Ruji Labs.

By accessing, registering for, or using WorkIt, you confirm that you have read, understood, and agreed to these Terms of Service and our Privacy Policy.

If you are using WorkIt on behalf of a company, organization, or other entity, you represent and warrant that you have the authority to bind that entity to these terms.

If you do not agree to these terms, you must not use WorkIt.

WorkIt is a cloud-based service operations platform designed for maintenance teams, service vendors, and facility management companies. The Service includes:

• Job Management: Create, assign, and track service jobs and work orders
• Quotation System: Generate and manage customer quotations
• Service Reports: Document work completed with photos and findings
• Invoicing: Create invoices and track payment status
• Customer Management: Store customer profiles, site history, and contact information
• Asset Tracking: Manage equipment details and warranty information
• Dashboard & Analytics: Monitor operational metrics and business health

Features available to you depend on your subscription plan. We reserve the right to modify, enhance, or discontinue features with reasonable notice.

To use WorkIt, you must create an account and provide accurate, current, and complete information. You are responsible for maintaining the confidentiality of your account credentials.

You agree to:

• Provide accurate and complete registration information
• Maintain the security of your password and account
• Promptly notify us of any unauthorized access or security breaches
• Take responsibility for all activities that occur under your account
• Ensure all users under your account comply with these terms

We reserve the right to suspend or terminate accounts that violate these terms or for fraudulent activity.

WorkIt is offered on a subscription basis with different plans (Starter, Growth, Pro Vendor). Subscription terms include:

• Billing: Subscriptions are billed in advance on a monthly or annual basis, based on your selected billing cycle.
• Payment: Payment is due according to the terms stated on your invoice. We accept payment methods as specified during checkout.
• Late Payments: Late payments may result in service suspension after reasonable notice.
• Upgrades/Downgrades: You may upgrade or downgrade your plan at any time. Changes take effect at the next billing cycle.
• Cancellation: You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period.
• Refunds: Unless required by law or specified in your Subscriber Agreement, subscription fees are non-refundable.

All prices are in Malaysian Ringgit (MYR) unless otherwise stated. Taxes, duties, and regulatory charges are your responsibility unless expressly included.

You agree to use WorkIt lawfully and responsibly. The following activities are strictly prohibited:

• Using the Service for any illegal purpose or in violation of applicable laws
• Attempting to gain unauthorized access to WorkIt systems, accounts, or data
• Uploading malware, viruses, or any harmful code
• Interfering with or disrupting the Service or servers
• Scraping, data mining, or harvesting information without authorization
• Impersonating any person or entity, or falsely stating your affiliation
• Uploading content that infringes on intellectual property rights
• Using the Service to send unsolicited communications (spam)

Violation of this policy may result in immediate suspension or termination of your account.

Your Data: You retain all ownership rights to your Customer Data. We do not claim ownership over your customer information, job records, quotations, or any content you create within WorkIt.

Our Rights: You grant Ruji Labs a limited license to use, store, and process your Customer Data solely to provide and improve the Service. This license terminates when you delete your data or close your account.

Data Export: You can export your data at any time through the Service. We recommend regular backups of your important business data.

Data Retention: Upon account termination, we will retain your data for a reasonable period (typically 30 days) to allow for data export, after which it will be permanently deleted, unless legally required to retain it longer.

Ruji Labs is committed to protecting your privacy and personal data. Our data handling practices:

• Data Collection: We collect information you provide (name, email, company details) and usage data necessary to operate the Service.
• Data Use: We use your data to provide the Service, process payments, send notifications, and improve our platform.
• Data Security: We implement appropriate technical and organizational measures to protect your data, including encryption in transit and at rest.
• No Sale of Data: We do not sell, rent, or trade your personal data to third parties.
• Third-Party Processors: We may use trusted third-party service providers (hosting, payment processing, analytics) who are bound by confidentiality obligations.
• PDPA Compliance: Our data handling aligns with Malaysia's Personal Data Protection Act 2010 (PDPA).

You have the right to access, correct, or delete your personal data. To exercise these rights, please contact us at hello@workit.my.

WorkIt IP: WorkIt, including all software, code, designs, logos, trademarks, and content provided by Ruji Labs, is owned by Ruji Labs Services and protected by intellectual property laws.

License to You: Subject to these terms, we grant you a limited, non-exclusive, non-transferable license to access and use WorkIt for your internal business purposes during your subscription.

Restrictions: You may not copy, modify, distribute, sell, or lease any part of WorkIt without our written permission. You may not reverse engineer or attempt to extract the source code of our software.

Feedback: Any feedback, suggestions, or ideas you provide regarding WorkIt may be used by us without restriction or compensation to you.

WorkIt is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied.

To the fullest extent permitted by law, Ruji Labs disclaims all warranties, including but not limited to:

• Merchantability, fitness for a particular purpose, and non-infringement
• That the Service will be uninterrupted, timely, secure, or error-free
• That any errors will be corrected
• That the Service is free of viruses or other harmful components

You use WorkIt at your own risk. We recommend maintaining regular backups of your critical business data.

To the maximum extent permitted by law, Ruji Labs shall not be liable for:

• Indirect, incidental, special, consequential, or punitive damages
• Loss of profits, revenue, data, or business opportunities
• Damages arising from third-party services or integrations
• Damages arising from your use or inability to use the Service

Where liability cannot be excluded, Ruji Labs' total aggregate liability for any claim related to WorkIt is limited to the total fees you paid to us for the Service in the twelve (12) months preceding the claim, or RM 1,000, whichever is greater.

By You: You may terminate your subscription at any time through your account settings or by contacting us. Termination takes effect at the end of your current billing period.

By Us: We may suspend or terminate your access to WorkIt if you:

• Violate these Terms of Service
• Engage in fraudulent or illegal activity
• Fail to pay subscription fees after reasonable notice
• Use the Service in a manner that harms our systems or other users

Upon termination, your right to use WorkIt ceases immediately. We may delete your data in accordance with our data retention policy.

These Terms of Service are governed by and construed in accordance with the laws of Malaysia, without regard to its conflict of law principles.

Any dispute arising out of or relating to these terms shall first be attempted to be resolved through good-faith negotiation. If negotiation fails, disputes shall be subject to the exclusive jurisdiction of the courts of Malaysia.
